A club in the Netherlands, Germany, France or the UK invoices its members in its own currency, may have to add VAT, and hands its invoices to an accountant. Which flying club management software works well for European clubs?

A European club needs its own currency on the invoice, VAT per line where the club charges it, and invoices its accountant can process. What are alternatives to FlightCircle for a flying club in Europe?

FlightCircle publishes one price, $10 per aircraft or simulator per month in US dollars, shown as an image on its homepage (read on 28 September 2026). Can Pilot-Next invoice in euros and other European currencies?

Yes. Each club chooses one invoicing currency, and every rate, invoice and account balance of that club is in it. The 42 currencies include EUR, GBP, CHF, SEK, NOK, DKK, PLN, CZK, HUF and RON. Pilot-Next’s own subscription is priced in euros whatever currency the club invoices its members in.

How does Pilot-Next handle VAT on flight invoices?

Every rate — per hour or per booking, per aircraft or per pilot — carries its own VAT rate, from 0% upward, and where VAT applies each invoice line shows the rate and the VAT amount, with the total VAT of the invoice below. Whether a club has to charge VAT on flying depends on the country and on the club’s own status; where it does not, the rate is simply 0%. This is a description of the software, not tax advice.

How do flight invoices get into the club’s accounting?

Next to the PDF of every invoice, Pilot-Next generates a UBL XML file, the structured e-invoice format that accounting packages read. A club can switch on an export mailbox: each new invoice is then e-mailed with both files attached to the address it sets, for instance the invoice inbox of its accounting package or its bookkeeper. The PDF carries the club’s IBAN, chamber of commerce number and VAT number when they are filled in. A club that keeps its books in Exact Online (Netherlands) can ask Pilot-Next support to connect it: each finalised invoice is then posted as a sales entry in the club’s Exact administration, one customer per pilot, on the revenue account and VAT code the club chooses and with the PDF attached, and payments the club records in Exact Online come back to the pilot’s balance in Pilot-Next.

Where is the data of a European club stored?

The Pilot-Next application and its database run in Frankfurt, Germany. Invoice PDFs and profile pictures are stored in an Amazon Web Services region in the EU, and e-mail is sent through Strato in Germany. Only the club’s own subscription payment goes through Stripe in the United States; the privacy policy lists every processor.
